How Dispatch Board keeps your data separate

Each company has its own database, files and logins. Two-factor sign-in, sign-in country display, backups you can download and a Canadian privacy policy.

Overview

Your rates and customers are your business

A drayage company’s data includes rates, customer contacts, driver details and where its trucks are. That is commercially sensitive, and it is also personal information about drivers and customers. When you put it in hosted software, the questions to ask are who else can see it, how do people sign in, and can you get it back out.

This page answers those questions with what the product does. It describes features, not a certification, and it does not claim any third-party audit.

Separate Data

Each Company Has Its Own Database, Files and Logins

Each company has its own database, its own files and its own logins. That is how the platform is organised, rather than something you set up. The loads, rates, drivers and invoices you enter belong to your company’s database only.

Inside your company, access follows the role. Dispatcher and admin logins are unlimited on every plan. Driver, customer and carrier logins are free, and customers see only their own freight. For how customers and carriers use their access, see the customer portal page.

  • Separate database per company
  • Separate files per company
  • Separate logins per company
  • Customers see only their own freight
  • Unlimited dispatcher and admin logins on every plan
  • Free driver, customer and carrier logins

Secure Access

Two‑Factor Sign‑In and Sign‑In Location Display

Two-factor sign-in is available, which adds a second step after the password. The country of each sign-in is shown, so a login from somewhere you do not expect stands out.

Neither feature replaces good habits such as keeping logins personal and removing people who leave. They give you more to work with.

  • Two-factor sign-in
  • Country of each sign-in shown
  • Personal logins for each person
  • Free driver, customer and carrier logins keep roles separate

Backups & Privacy

Nightly Backups, Downloadable Files and PIPEDA Compliance

You can download a full backup file and a CSV of your loads at any time, including before you leave. Plans are month to month. On the platform side, backups can be run for each company every night, kept for a set number of days, encrypted and copied to off-site S3-compatible storage. Ask which of those apply to your account, since they are platform options.

Virtuoso Technologies Ltd. follows Canada’s PIPEDA. The marketing website has no advertising or tracking cookies and no analytics scripts. In the product, driver location is collected only while the driver app is in use for work. Personal information is not sold, and after an account closes its data is deleted within a reasonable period unless the law requires keeping it. The full text is in the privacy policy.

How it works

What this means in practice

Step 1

Self sign-up gives your company its own database, files and logins, with sample data and a get-started checklist.

Step 2

Use two-factor sign-in and watch the country shown for each sign-in.

Step 3

Share

Give customers, carriers and drivers free logins that show only what belongs to them.

Step 4

Take a copy

Download a backup file or a CSV of your loads whenever you like.

This page describes product features. It does not claim a certification or a specific hosting location.

What to check before you sign up

Security is partly about the software and partly about how you use it. Ask for what matters to your business in writing, and use the trial to confirm the parts you can see for yourself. This is a list of things to look at, not a guarantee.

If your customers or insurers ask security questions, email [email protected] with the questions and we will answer what we can in writing. We will say so when something is not covered.

  • Create a trial company and note that its data and logins are its own
  • Turn on two-factor sign-in for an admin login and look at the country shown at sign-in
  • Give a customer login and confirm it shows only that customer’s freight
  • Download the backup file and the CSV of loads, and open them
  • Ask which backup options apply to your account: nightly runs, retention, encryption and an off-site copy
  • Read the privacy policy and ask about anything it does not answer

Questions

Frequently asked questions.

How does Dispatch Board keep my company’s data separate from others?

Each company receives its own database, file store and login set. Customer, carrier and driver accounts are scoped to that company only, and role‑based access ensures users see only the freight that belongs to them.

What does two‑factor sign‑in protect?

Two-factor sign-in is available. It adds a second verification step after the password.

Can I see where my users are signing in from?

Yes. Every sign‑in displays the country of origin, so you can quickly notice if a login comes from an unexpected location and investigate further.

How can I get a copy of my data if I need it?

You can download a full backup file and a CSV of your loads at any time. On the platform side, backups can run nightly and be kept for a set period, and backup files can be encrypted and copied off-site. Ask which of those apply to your account.

Which privacy law does Dispatch Board follow?

Virtuoso Technologies follows Canada’s PIPEDA privacy law. The website uses no tracking cookies or analytics scripts, driver location is collected only while the app is in use, personal data is never sold, and data is deleted after account closure unless legal retention is required.
